COVID-19 Update

As of April 1, 2020

The ATC, ASTS, and AST leadership are closely monitoring the Coronavirus (COVID-19) developments, while following updates and guidance from the World Health Organization (WHO)U.S. Center for Disease Control (CDC), the Commonwealth of Pennsylvania, and the City of Philadelphia. Our thoughts continue to go out to those around the world who are affected.

Leadership understands that constant, daily evaluation of the potential impact of the Coronavirus on this event is important.  At this time, ATC 2020 will proceed as planned.  We appreciate receiving your comments and we will continue to provide the most up-to-date information via the ATC website.  We want to assure colleagues planning to attend ATC 2020 that health, safety and security are our top priorities.

We will continue to provide regular updates and let you know immediately if the situation changes. 

ATC 2020 will be a handshake-free meeting.

Travel

Registration Cancellation / Refund Policy

  • Attendees can receive a full refund on registration fees up to May 18, 2020.
  • Attendees must submit a request to cancel in writing via email to the ATC Registration Coordinator, Gabriella Pasquini, gpasquini@atcmeeting.org by May 18, 2020 to receive a refund.
  • Include the following in your request:

    1. Name, address, employer/organization name
    2. Amount of refund requested
    3. Reason(s) for request
    4. Copy of any document necessitating your inability to participate (examples include airline flight cancellation confirmation, government order to not travel, employer order to not travel).

Exhibit & Sponsorship Cancellation / Refund Policy

Hotel Cancellation / Refund Policy

  • Reservations booked through the ATC Hotel Reservation Company, OnPeak, may be cancelled without penalty up to 48 hours in advance of check-in date.
  • Through May 7, 2020, attendees can cancel their hotel reservations through the ATC Hotel Reservation Company.
    o Email: Use this Form to submit an email to OnPeak.
    o Phone: Call to speak with an agent at (800) 439-4326 between 8:00 AM and 6:00 PM, Monday – Friday Central Time USA.
    o If you have an existing reservation, please have your OnPeak Attendance/Group ID number handy.
  • Beginning May 8, 2020, attendees must contact their hotel directly to cancel reservations.

Abstract Policy

  • Abstract submission fees will not be reimbursed should an abstract presenter or abstract submitter be unable to attend ATC 2020.
  • Abstracts that have been selected for plenary, oral, and poster presentation will still be made available to view on the ATC Mobile Application and AJT Online Library on April 27, 2020.

PROTECTIVE & PREVENTATIVE MEASURES IN PHILADELPHIA

City of Philadelphia

  • The City of Philadelphia has been monitoring the COVID-19 epidemic since early January 2020 and has been working diligently to prepare plans and responses if cases occur in Philadelphia. Here is what we’ve been doing.
  • The Philadelphia International Airport (PHL) is complying with the travel restrictions implemented by the U.S. Government.

PROTECTIVE & PREVENTATIVE MEASURES AT ATC 2020

Pennsylvania Convention Center & ATC Hotels

  • As always, trained medical personnel will be available in the Pennsylvania Convention Center during the ATC.
  • ATC is collaborating with local health authorities to develop a preparedness plan that includes access to emergency room physicians.
  • ATC is increasing the number of hand sanitation stations in the Pennsylvania Convention Center and in ATC Hotels, providing alcohol-based sanitizer for all attendees.
  • ATC will be giving out individual hand sanitizers to all attendees at registration.
  • The Pennsylvania Convention Center and ATC Hotels have increased the frequency of cleaning and disinfecting procedures for all common areas in the center and hotels, following the recommendations of the CDC and WHO.

SITUATION MONITORING

ATC, ASTS, and AST Leadership

  • The ATC, ASTS, and AST Leadership with the ATC, ASTS, and AST staff is meeting on a regular basis with key conference stakeholders, including the Pennsylvania Convention Center Authority and local health officials to evaluate any risk in the city.
  • Leadership is also actively monitoring CDC and WHO updates for further information.

  1. Will the coronavirus impact ATC 2020?
    At this time, ATC 2020 will proceed as planned.  The ATC, ASTS, and AST leadership want to assure colleagues planning to attend ATC 2020 that health, safety and security are our top priorities.  We are working with the Pennsylvania Convention Center, Philadelphia Convention & Visitors Bureau, the Philadelphia hotel community, and local health officials to implement every precaution necessary to provide an exceptional Congress.
     
  2. Will the ATC restrict access to the conference; prohibiting individuals from China or other highly impacted countries from attending?
    The ATC will not prohibit individuals from attending the conference based on the country of origin. Each nation is enforcing its own set of travel restrictions, so we urge you to be aware of the latest travel advisories for the United States, as well as your country.  Information to guide your travel is below:
  3. What provisions is the ATC making for ATC 2020 considering the current coronavirus pandemic?

    We have currently instituted the below Protective and Preventative Measures at ATC 2020:

  4. Can I cancel my Congress registration and receive a refund?
    Yes, you can cancel your Congress registration and receive a refund by meeting the criteria below:
    • ​Attendees can receive a full refund on registration fees up to May 18, 2020.
    • Attendees must submit a request to cancel in writing via email to the ATC Registration Coordinator, Gabriella Pasquini, gpasquini@atcmeeting.org by May 18, 2020 to receive a refund.
    • Include the following in your request:

  5. Can I get a refund if flights from my country are cancelled and I am unable to travel to the U.S. in May?​​
    Attendees should check their individual airlines for specific cancellation / refund policies.  ATC will not be responsible for any airline cancellation or change fees.
     
  6. Will I get refund on my abstract submission fees if I am unable to attend ATC 2020?

  8. If I need to cancel my hotel, who should I contact?
    Hotel reservations booked through the ATC Hotel Reservation Company, OnPeak, may be cancelled without penalty up to 48 hours in advance of check-in date.   You can contact the following based on your date of cancellation listed below:
